Student Employee Program

Welcome to the ITS Student Employee Program here at North Carolina Central University. You will be performing work that is important to the University as a whole. In order to function as an integral part of the University, it is important that you clearly understand the expectations and guidelines that govern all student employees.

Student Employee Definition

A student employee is a part-time employee who is enrolled at NCCU, is registered for classes and whose primary purpose for being at the university is the achievement of a degree or certification. During the summer semester, an individual may be a student employee if s/he has been admitted/readmitted and is enrolled for summer or fall semester classes. Student employees are considered at-will employees, and their employment is interim or temporary and incidental to the pursuit of a degree or certification.

In order to maintain employment in Information Technology Services, one must be an enrolled student in good standing with at least a 2.5 GPA at North Carolina Central University.

Students who have graduated and are not planning to continue with another degree program may stay on the student employee payroll until the day before the next semester begins if they are to continue working.

Student Employee Rights and Responsibilities

Your rights as a student employee are:

  • To be treated fairly and equitably by your chain of command and NCCU.
  • To know what is expected of you concerning your work schedule, duties, and other requirements made by your chain of command.
  • To be informed about your work performance through verbal communication and performance evaluations.

NCCU ITS provides an environment that encourages open, responsible and respectful exchange of opinions, ideas and information. All student employees are responsible for adhering to all ITS guidelines as well as the NCCU Student Code of Conduct.

As a student employee, you make a commitment to NCCU ITS that you will perform your job duties assigned to you to the best of your abilities. Student employee positions are real jobs and should be treated as such. Consider your job an opportunity for professional development and an excellent opportunity for you to build skills you cannot learn in the classroom. In addition, your department supervisor may later serve as an employment reference and can be a great resource for letters of recommendation. The following sections discuss habits that enforce good employee practices.

Attitude

  • All student employees must have a "can do" attitude.
  • Provide service with a smile.
  • Be approachable
  • Provide outstanding customer service
  • All students must be dependable, as supervisors count on student employees to work.
  • Supervisors count on student employees to work.
  • Act in a professional manner concerning all aspects of your work. Respond positively to constructive criticism.
  • Try to establish good working relationships with your supervisor and other student co-workers.
  • Always follow policies and procedures.
  • Remember that your behavior on the job reflects on both you, ITS and NCCU!

Work Schedule and Attendance

Student employees are hired as part-time temporary employees and are scheduled accordingly. We rely on the skills of supervisors and the good judgment of student employees to take all factors into consideration when establishing work schedules. Supervisors and students should remember that academic success remains the top priority.

  • When the work schedule is submitted and approved, students are expected to work the approved work schedule. Any modification after submission must be re-approved.
  • No student employee can work during time scheduled for class or more than 20 hours per week, with the exception of term breaks.
  • Report to work on time and let your supervisor know when you arrive for work.
  • If you need to miss work for any reason, request permission from your supervisor in advance.
  • In case of an emergency, contact your supervisor as soon as you know you will miss work.
  • Student employees are expected to plan their studies, projects, and extra­curricular activities with consideration of their work schedule.
  • Students who miss three consecutive days without notifying the supervisor will be considered voluntary termination. Student employees must contact their supervisor prior to shift modification such as absences, arriving late or leaving early.
  • In the event of illness or other emergency, students must notify their supervisor for each scheduled work period. If the student employee knows in advance that he/she will be out for several days, they must communicate that information to the appropriate supervisor as soon as possible.
  • Student employees are not eligible to receive other employment benefits such as overtime pay, shift differential, paid holidays, vacation or sick leave, unemployment insurance, or permanent status.

Note: Student employees cannot work and will not be paid for unauthorized hours, such as extended hours or hours past the original contract date. Doing so may result in termination.

Lunch/Breaks

Students working a consecutive 4-hour shift shall be given a 15-minute break and at least a 30-minute break for lunch during a 6-hour to 8-hour shift. The time of both breaks should be determined by the supervisor and is typically scheduled towards the middle of the shift. The 15-minute break is paid time; the 30-minute lunch is unpaid time. The 15-minute break cannot be accumulated for lunch and cannot alter the normal work schedule. You must leave the work area when taking breaks.

Meetings

All meetings scheduled by your chain of command are mandatory. The regularly scheduled meetings are:

  • BootCamp
  • Monthly meetings
  • Mid-semester and year-end performance reviews
  • Year-end award ceremony (with announcements of graduation, promotions, etc.)

Dress Attire

Students must display their NCCU ITS work badge during the entirety of their work shift. Student employees are expected to dress in a professional manner as it relates to the area of the University for which they are working. Please keep in mind that impressions of an office are often formed through the dress and manner of its employees. Student employees inappropriately attired may be asked to leave and return with appropriate clothing.

Due to the nature of the business, the dress attire would be considered business casual. Jeans or chinos (khakis) are acceptable as long as they are neat, clean, and free of wear and tear. No shorts or miniskirts or shirts with inappropriate statements or pictures will be tolerated. Leggings, athletic wear, t-shirts, off-the-shoulder tops and spaghetti straps are not acceptable dress. Wearing an NCCU t-shirt is acceptable. Clothing with holes is not acceptable dress. Hats or caps should not be worn inside buildings. Clothing that is wrinkled, oversized, baggy, or sagging and head scarfs are not acceptable. Open-toe shoes are not allowed because of safety issues.

Cell Phones and Camera

The use of a personal cellular phone for anything other than researching work-related purposes during work time and face timing is unacceptable. Student employees may use a personal cell phone during break periods. Listening to music or using earbuds is prohibited. Taking pictures or recording of any kind is prohibited within the Information Technology Services department unless authorized by your supervisor.

Supervision

Student employees are expected to report to their assigned supervisor at the beginning of each work shift in person and clock in and out at the TimeClockWizard station. Student employees working in other locations may use TimeClockWizard to clock in and out at their respective areas. In the event of a TimeClockWizard malfunction, student employees must email their supervisor and Marian White at the beginning and end of their shifts. Usage of the TimeClockWizard Mobile app for clocking in and out is prohibited. Student employees will be assigned to a particular area of the department and will be responsible to the individual in charge of that area for the duration of their assigned tasks.

Electronic Timesheet

Electronic timesheets are due bi-weekly and submitted for approval on Sunday by midnight at the end of the pay cycle. It is best business practice and is expected to enter hours each day that you work. Submitting timesheets late may result in late payment and job termination. All student employees must have direct deposit set up, and the forms must be completed in payroll. We will provide timesheet training to student employees. Student employees must complete and submit a correct timesheet each pay period. Failing to do so may result in job termination. When submitting your timesheet, use the time recorded to TimeClockWizard.

Payment and Recording Time

Immediately after a student is selected for a position, the student's paperwork must be processed for payroll before their start date may be set by the supervisor. Students cannot start working before processing is complete. Your hiring supervisor will know if you have completed processing and when you can start work.

Students are paid twice a month for hours worked. The university is required by law to make deductions from paychecks for federal and state income taxes and Social Security. Notify your supervisor immediately if you believe there is a problem with your paycheck.

Failure to enter time or the falsification of time records can result in disciplinary action up to and including termination and repayment of funds for time not worked.

Promotion/Pay Rate Increase Process

Each semester is an opportunity to grow. Student employees can be recommended by their supervisor for a promotion as a team lead, as a proven team veteran or into a specialized position based on the following criteria:

  1. Superior Job Performance: The supervisor must explain the qualities that merit an increase in pay. You can also include any performance evaluations that were completed. Generally, a student should not be considered for this form of pay rate increase until the student has been working in a department for at least one semester.

  2. Longevity: Pay rate increases may be requested for students who have worked for the same department at the same pay rate for two consecutive semesters and have received exemplary performance plan ratings.

  3. Specialized Skill: If a student has demonstrated that they are qualified to perform tasks that are specialized, a pay rate increase may be requested.

Assignment Expectations

Student employees should understand that assignments are expected to be completed in a timely and professional manner. Student employees must wear their ID badges during their work shift. Social conversation should be kept to a minimum, and calls and visits from friends are prohibited during work hours. Students should refrain from coming to work during nonscheduled time. Playing games, eating and doing homework during business hours are grounds for termination. Do not add yourself to the NCCU directory. Please refrain from coming to the work area for lengthy socialization when you are not scheduled to work.

It is best business practice and expected for student employees to read their emails frequently during business and non-business hours. Student employees are expected to attend all scheduled meetings and trainings. If students cannot attend, they must notify their supervisor prior to the meetings and trainings.

Performance Evaluations

Students' performance will be evaluated each semester. The evaluation may cover some or all of the following areas: punctuality, dependability, quality and quantity of work, work attitude, ability to work with others, employee relations, integrity, ability to carry out their responsibilities, and initiative. The student employees will receive a copy of the evaluation for their records.

Employment evaluations, both informal and formal, are an important part of the student's learning experience. Evaluations are valuable tools to develop the student employee, to give and receive feedback about the student's employment experience, and to strengthen the professional and career development of the student employee. Evaluations are also important if students wish to use their student employment experience as an employment reference after graduation.

Safety and Injuries

North Carolina Central University has always taken a great interest in employee safety. Therefore, all University employees must obey all safety procedures, guidelines, and standards while performing any work for the University. It is also the responsibility of each employee to report any condition that may cause personal injury or property damage. Any injury that occurs at work, no matter how slight, or any accident that causes damage to property must be reported to the immediate supervisor in charge.

File Sharing and Copyright Information

It is against the law to download illegally, and any illegally downloaded materials will result in termination. NCCU does not condone the reproduction, storage, or distribution of copyrighted material without the written permission of the copyright holder. It is the student's responsibility to practice safe and legal file sharing and to respect all copyright laws. Unauthorized use of NCCU software will result in termination.

Confidentiality

Students should understand that all materials handled are strictly confidential and cannot be discussed outside the workplace or with other students.

  • Do not release or share confidential information about other students to anyone, including family members of the student, either by phone or in person. Unauthorized release of confidential information is a serious violation of the Family Rights and Privacy Act (FERPA). Respect the records as if they contained your own personal information.
  • Do not discuss departmental issues with anyone outside the department.
  • Do not remove files or other materials from the workplace.
  • A breach of such confidentiality or any act of dishonesty may be just cause for your immediate dismissal.

Additional Employment

Student employees are not to solicit or conduct any personal secondary employment business during working hours. At no time, under any conditions, will student employees allow any secondary employment to interfere with duties. This presents a conflict of interest and is grounds for termination.

Access to computer systems and networks owned and/or operated by North Carolina Central University is given to North Carolina Central University students, faculty, staff, and administration for legitimate educational, research, and administrative functions. This accessibility is granted subject to University policies and local, state, and federal laws and imposes specific responsibilities and obligations.

ITS Confidentiality Statement

All ITS personnel must respect the privacy, security, and confidentiality of any information not intended for public dissemination, by any means, that becomes known to them by any means deliberate or accidental. Violations of this statement include, but are not limited to:

  • Leaving secured applications unattended while signed on;
  • Misusing, disclosing without proper authorization, or altering confidential information;
  • Using another person's username and/or password for accessing electronic confidential information or for physical access to restricted areas;
  • Accessing confidential information that is not within the scope of your duties;
  • Intentional or negligent mishandling or destruction of confidential information; and/or
  • Attempting to access a secured application or restricted area without proper authorization or for purposes other than official North Carolina Central University business.

Access by remote login should not be used on any computer unless all of the following are true:

  • It is required to complete a specific task
  • The computer user has requested your assistance, and
  • The user has authorized this method of usage.

Violation of the above statements may constitute grounds for corrective actions as outlined by North Carolina Central University, ITS, local, state, and federal policies, up to and including dismissal.
